Job Description

Kate Figler Interiors is looking for a professional, organized and self-motivated Office & Logistics Manager. The Office & Logistics Manager will support the Principal and Senior Designer and play a pivotal role in ensuring the smooth operation of KFI’s office by providing administrative support across various departments. **Please note, this position is administrative and is not a design role.**

Responsibilities will vary from day to day but will mostly include:

- Data entry into project management software; this will include a project’s digital files, product pricing/imagery, order/payment confirmation, warehouse information and all other pertinent information
- Main point of contact between KFI and receiving warehouse, coordinating and meeting with installers and clients on site
- Main point of contact between KFI and vendors; candidate will manage all purchase orders
- Oversee installations and trade visits and help scheduling these appointments
- Resolve all product damages and claims
- Upload designers’ meeting notes into Google Drive or attend meetings to take notes as needed
- Daily tracking of purchased items within KFI pipeline, updating all project management software accordingly
- Maintain office calendar, updating it with client meetings, vendor meetings, site visits, installs, etc.
- Email all clients and trades 24 hours before meeting/event to confirm details
- Regularly communicate with clients as to the status of their project and associated deliverables
- Accept office deliveries and packages and deliver to relevant clients/workrooms/showrooms
- Work with Principal to invoice clients post install in a time-sensitive manner
- Organize and maintain sample library
- Support bookkeepers with questions re: invoices and purchase orders
- Assist with photoshoots
- Help with office errands

Job Requirements

- 4+ years relevant work experience, preferably for an interior design firm
- Proficient in Google Workspace
- Experience with KFI internal project management software a plus (Houzz Pro, Airtable, Keynote)
- Knowledge of trade resources and vendors preferred
- Excellent attention to detail, highly organized and good at multitasking
- Strong written and verbal skills; candidate must be comfortable being assertive when the situation requires it
- Experience with client services and ability to maintain a proactive and friendly attitude with clients and trades
- A firm understanding of purchasing protocol with specific experience creating, maintaining and coordinating systems that facilitate these processes
- Troubleshooting skills
- A flexible and can do attitude; we are a small firm and are all accustomed to having to "wear many hats"
